How we work

Four steps, no surprises.

Every project, large or small, goes through the same four stages. At the end of each one you get a concrete result to review and approve before we move on. That way you always know what is done, what is happening now and what comes next.

From first call to launch

    Conversation

    In a short call we cover goals, users, existing systems and constraints. If needed, we review your current site or process. We take over a system built by others only after a technical audit.

    You get: a clear goal and what is actually needed.

  2. 2

    Proposal

    We send the scope, a task list and the price, and give the timeline with them. The price follows the scope. You are not committed to anything before the proposal.

    You get: price, scope and timeline in writing – before any work starts.

  3. 3

    Build

    We lay out the structure, user journey and screens for desktop and mobile. You review the designs before any code is written, when changes cost the least. Then we build, test and share progress with you – you can click through, check and comment. If the site has a CMS, the price includes up to 60 minutes of remote training and a short guide.

    You get: an approved design and a working, tested version with your content.

  4. 4

    Launch

    We launch and set up redirects, basic SEO, analytics and monitoring, and check the speed. After launch we handle updates, security and bugs, and build new features when you need them.

    You get: a live product and one contact for everything that follows.

What you can always expect

  • Your code and accounts

    Once paid in full, the rights to the content made for your project and the code set out in the contract. Domains and accounts are yours.

Who owns the code

Once the client has paid for the project in full, the client receives the rights to the content and data created for that specific project and to the custom code set out in the contract. Oxtren retains the rights to its own pre-existing libraries, components, infrastructure tools, know-how and other reusable solutions. Third-party software and licences are subject to their authors' licence terms.

The client's domains, business accounts and accounts created in the client's name belong to the client.

After launch

After launch we can keep looking after hosting, updates, security fixes and bugs, and build new features as you need them. Response time depends on the plan and is not the same as resolution time.

  • Every delivered project has a 6-month warranty: we fix bugs in what we built and delivered.
  • The warranty runs from project handover, separately for each project.
  • New work, changes and new features are not covered: they are estimated upfront and done as separate work.
Maintenance plans

Not a fit? We say so

If an existing tool fits your process, we will say so. If a system offers no access to the data we need, we will tell you right away. We take over a site or system built by others only after a technical audit, once we confirm whether we can take on its maintenance and on what terms.

Common questions

Do I need a technical brief?

No. A few sentences in your own words about what needs building or fixing are enough. If you are not sure yet what you need, that is fine too.

Am I committed before the proposal?

No. You get a proposal with the scope and price before you decide anything. You decide once you can see the task list and the price.

How many stages does a project have?

Four: conversation, proposal, build and launch. At the end of each stage you get a concrete result and approve it before we move on.

Can you take over a site built by someone else?

Yes, but only after a technical audit. After it we confirm whether we can take on its maintenance and on what terms.
